Responsible AI

Set the boundaries before AI is used.

Your leaders decide what technology may do, who approves consequential decisions, where data may go and what evidence must be retained. Archimeda documents those terms before deployment.

The commitments

Three controls in plain language.

  1. People remain responsible.

Every deployment names the decision owner and the human review point. Consequential decisions are made by a named person, not routed around one.

  2. Data terms are explicit.

For the capability in use, the deployment states where data is located, who can access it, how long it is retained, what consent it requires and what may never be used to train a model.

  3. The record can be checked.

Logs, records and review triggers are identified before use, together with the response when something goes wrong. Claims are limited to the actual control and its scope.

Framework mapping

Mapped to the Australian Framework for Generative AI in Schools.

The commitments above are applied through the six elements of the national framework. For each element, the deployment records what must be true, how that is controlled, and what can be checked.

Teaching and learning

The use advances a defined educational purpose.

Human and social wellbeing

The use protects agency, relationships, and student wellbeing.

Transparency

Affected people can understand where AI is involved.

Fairness

Access and outcomes are checked for unfair barriers or discrimination.

Accountability

Named owners hold responsibility for the deployment, decision, and result.

Privacy, security and safety

Data use is scoped, documented, and reviewable.

Teaching and learning

Required outcome
The use advances a defined educational purpose.
Control
Before use, the school system names the learning purpose, intended users, curriculum context, and what the teacher can see or change.
Records to inspect
Approved deployment scope, curriculum rules, teacher permissions, review results

Human and social wellbeing

Required outcome
The use protects agency, relationships, and student wellbeing.
Control
A named person decides consequential matters. For student-facing use, the school system approves the student group, content boundaries, teacher oversight, and route for reporting concerns.
Records to inspect
Decision owners, approved student group, content rules, teacher view, concern process

Transparency

Required outcome
Affected people can understand where AI is involved.
Control
Relevant users are told when AI produces material or informs a decision. Process owners can inspect recorded actions and evidence used for an outcome.
Records to inspect
User notices, process documentation, action records, evidence references

Fairness

Required outcome
Access and outcomes are checked for unfair barriers or discrimination.
Control
The deployment identifies affected groups and accessibility needs, tests for materially different or discriminatory outcomes, reviews complaints during use, and gives people a route to challenge an outcome.
Records to inspect
Accessibility requirements, group-based test results, review samples, complaints, challenges and responses

Accountability

Required outcome
Named owners hold responsibility for the deployment, decision, and result.
Control
The school system approves deployment and names the person responsible for use and review. Archimeda is responsible for its advice, delivery, and claims.
Records to inspect
Approval, named owners, decision register, action records, measured baseline

Privacy, security and safety

Required outcome
Data use is scoped, documented, and reviewable.
Control
The deployment terms name the data used, access roles, storage location, retention period, model-provider use, required notices or consent, and incident response contacts.
Records to inspect
Data terms, permission settings, retention schedule, model settings, incident process

The deployment record

Record the terms before use.

Before a deployment, the parties record seven terms. The framework mapping above structures that record for the capabilities in use.

  1. The purpose the capability serves

  2. The people it affects

  3. The decision owner

  4. The human review point

  5. The data terms

  6. The records available for inspection

  7. The trigger for review

The next step

Name the decisions before deployment.

We will help your team define the permissions, evidence, review points and response when something goes wrong.
